After launching their public facing website, the client returned to us with a new goal: to centralize and streamline the internal operations of their fertility agency. They needed a custom built admin dashboard that could serve as the control center for their team, bringing together lead management, communication tools, performance metrics, and marketing attribution all in one place. At the core, they wanted a lightweight CRM tailored to their unique surrogacy pipeline. The system needed to support automation workflows like sending SMS messages to new leads, updating lead statuses, and triggering team notifications. In addition, the client wanted real time visibility into key business metrics such as revenue, escrow tracking, and marketing performance across platforms like Google Ads, Facebook, and TikTok. Off the shelf solutions were either too rigid or lacked HIPAA conscious architecture. The client needed a flexible platform designed around their specific business logic and workflows.

We developed a fully custom admin platform designed to streamline every step of the client’s lead intake and operational process. Built as a secure web application, the system included a purpose-built CRM with status tracking, automation rules, and messaging capabilities via SMS. New leads entering through the website or ad forms were automatically routed into the CRM, where the system triggered onboarding sequences, updated lead statuses (e.g., “Attempted to Connect”, “Connected”, “Qualified”), and sent alerts via Slack or email to internal coordinators. The dashboard also featured robust reporting modules. Revenue and escrow metrics were visualized using clean, interactive components, and we integrated APIs from Google Ads, Facebook Ads, and TikTok Ads to surface real-time campaign performance. This gave the team a clear understanding of which marketing channels were delivering the strongest ROI and helped guide their advertising strategy. By designing the dashboard from the ground up, we were able to tailor every piece of functionality to the client’s workflow. The result was a single, intuitive hub that replaced spreadsheets, reduced response time, and gave leadership complete visibility into both operations and performance.
